About Tennis Court Reservations
Recently, due to the lighting not turning on at the Shiroyama Park tennis courts, and multiple issues being observed in the city's Public Facilities reservation system (hereinafter referred to as the "system"), we are submitting requests for improvements.
1. Contact in case of inability to use
(1) I want the system to have a link to the contact form posted. I searched all over for the form. If the link is posted, it will be easy to contact.
(2) In cases where use is not possible, users must contact by the next day, but refunds take 1 to 2 months. When asked the gymnasium staff why users have only one day as a deadline while the gymnasium takes 1 to 2 months, they explained that there are about 300 applications each month, and it takes time to verify each one by cross-checking with the usage applications.
Regarding this, when users enter and submit the application form, error checks are performed to verify a) that there are no missing entries, b) that the ID and name match, and c) that the application is cross-checked with the database to confirm the application was indeed made. This will eliminate the need for the detailed work on the 300 cases and streamline the refund process.
Considering the personnel expenses and system renovation costs, it might be possible to recover the investment.
2. When it is 3 days before the date of use, reservations cannot be made through the system, and you need to visit the gymnasium in person.
The reason was to prevent more than three days from passing without payment after making a reservation, but if that is the case, wouldn't it be better to require immediate payment if it is within three days? (Since credit cards can be used, this is possible.)
At least, from three days ago, it has been marked with a ● instead of a ○, and there is no indication anywhere that reservations cannot be made through the system.
3. About the Court Key
After making a reservation and paying by credit card, it is necessary to separately issue the key box unlock number from the "Smart Key" menu. Although you will be notified by email, whether you pay by credit card or convenience store payment, the key number should be automatically displayed on the page showing the reservation status after payment.
Response
For the link to the contact form in case sports facilities cannot be used due to rain or other reasons, it is posted in the notice article titled "[Important] Regarding the Unavailability of Sports Facilities Due to Rain, etc. (Sports Facilities in Parks)" on the Public Facilities Reservation System top page. Please check and use it accordingly.
The public facilities reservation system updated last year was introduced through joint procurement by Tokyo Metropolitan Government, based on the premise that multiple municipalities use a system with common specifications. It is a mechanism that is difficult to modify by our city alone. Therefore, regarding the reconciliation process of usage reservation information, flexibility of payment deadlines, and the display method of available reservation slots that you pointed out, we will request revisions to the common specifications.
Regarding the smart key PIN, due to the specifications of the Public Facilities reservation system, it cannot be displayed on the page showing the reservation status. Please check it in the email automatically sent within one hour after the reservation is confirmed, or if you are in a hurry, please issue and check the PIN from the "Smart Lock" menu on your My Page in the reservation system. Please note that if you issue the PIN on the reservation system before the automatic email is sent, the email will not be sent.
